Patient Data Notice
How we handle your clinical information, meaning your scan, your images and your report, when you attend the clinic.

This notice explains what happens to your health information when you have a scan at SANFI Diagnostics. Information you send through the website before you attend is covered by our privacy policy.
What we hold
- your identifying details: name, date of birth, address, contact details;
- your referral, where one was provided, and the clinical question being asked;
- relevant medical history you tell us at the appointment;
- the ultrasound images acquired during your examination;
- the report written by the reporting radiologist;
- a record of who accessed your file and when.
Why we hold it
To provide your care, to produce and issue your report, to meet our professional and legal obligations, and to support any follow-up you need. Our legal bases are Article 6(1)(b) and (c) and Article 9(2)(h) of the GDPR, covering the provision of healthcare by a health professional bound by professional secrecy.
Who we share it with
- Your GP or referring clinician, where you have asked us to send your report to them. We will confirm this with you.
- Another clinician you are referred on to, with your agreement, so your care continues without repeating the examination.
- Nobody else, unless we are required by law, or there is a serious risk to someone's life.
We do not share your clinical information with insurers, employers or marketers.
How long we keep it
Clinical records and images are retained in line with the clinic's retention schedule, which follows Irish healthcare record retention practice. [TO CONFIRM: the clinic's retention periods for adult records, records relating to children, and obstetric records, agreed with the clinical director.]
How it is protected
- Records are held on systems accessible only to authorised clinic staff.
- Access is limited to those involved in your care.
- Staff are bound by professional confidentiality obligations.
- Backups are encrypted and held within the European Union.

Your rights
You can ask for a copy of your records, including your images. Ask at reception or email info@sanfidiagnostics.com. We will respond within one month.
The right to erasure is limited for clinical records: we cannot delete a record we are professionally or legally required to keep. We will explain this if it applies to your request.
